Submission Guidelines and Policies

1. Events must be sponsored by one of the following:

  • an officially recognized department or unit
  • a recognized, registered or sponsored student group
  • authorized student government units
  • a sponsored departmental or campus organization.

2. Personal events (example: a birthday party or a wedding) are not appropriate submissions to the calendar.

3. Student groups must adhere to the Rules and Regulations of Student Conduct <http://www.northwestern.edu/handbook>.

Faculty and staff groups must adhere to Staff and Faculty Handbook rules <http://www.northwestern.edu/hr/handbook.pdf>.

4. A NetID is required to submit and edit event information. It is not possible to submit events to the calendar anonymously. Northwestern University Information Technology administers NetIDs <http://snap.it.northwestern.edu/>. If you do not have a University NetID and believe that your event conforms to the above-noted guidelines, contact the calendar editor at planit@northwestern.edu or 847-491-4870.

5. Plan-It Purple editors reserve the right to delete and/or edit event listings if they do not meet the criteria mentioned above or violate local, state, or federal law or Northwestern University Campus Regulations.

6. Profanity and references to illegal behavior will not be tolerated in the calendar at any time.

7. All fields must be completed on the event submission form, except those marked "optional."

8. Plan-It Purple editors are not responsible for the accuracy of any information submitted by group administrators. It is the group administrator's responsibility to ensure that information is provided and updated if event information changes.

9. All events submitted by recognized student groups will automatically appear on My Plan-It and the Northwestern view of Plan-It Purple.

10. Groups requesting that an event appear on HereAndNow Online and/or be forced on to everyone's My Plan-It calendar will need to have the event approved by the calendar editors. Not all requests can be honored.

11. The ASG Technology Director and Manager of Student Computing, under the authority of Student Affairs, will administer undergraduate student group requests. The Plan-It Purple editor will administer requests by graduate and professional students.

12. Groups are advised that they are only allowed to post one event listing to the calendar per event occurrence. Reminders for events should not be posted as events on the calendar.

Student Group Recognition

Undergraduate Student Groups

Undergraduate Student groups may gain official recognition in the following ways:

1. They may apply through the Associated Student Government for recognition. Application forms to obtain ASG recognition may be obtained in the ASG Office, 3G, Norris University Center. For additional information about this process, go to http://asg.northwestern.edu/groups

2. Religious-based student groups of any faith must request recognition through the University Chaplain's office. For more information, contact the Chaplain's Office, located at 1870 Sheridan Road, at 847-491-7256 or chaplain@northwestern.edu

3. Some academic and Student Affairs departments also work with and recognize student groups (e.g. Multi-Cultural Advocates, National Society of Black Engineers, Welsh-Ryan Rowdies). In order to gain this type of recognition, you must have a departmental sponsor approved by Student Affairs, the department, or the dean of the school.

Graduate and Professional Student Groups

Graduate and professional student groups are approved by the Plan-It Purple editor, who will contact the school or department with which the group is associated.

1. To expedite the approval process, graduate and professional student groups should clarify their affiliations when filling out the "Create a Group" form on Plan-It Purple.

2. Most graduate student groups are affiliated with one of the following schools: Kellogg Graduate School of Management, School of Law, The Graduate School, Feinberg School of Medicine, or School of Continuing Studies. Graduate and professional student groups should indicate their affiliation at the time of registration.

3. If a graduate student group is NOT affiliated with one of the schools listed above, that group should provide detailed information about its campus affiliation and a name and phone number for the Plan-It Purple editor to call to verify this affiliation.

Policies for student groups who request that their events appear on the public view of Plan-It Purple

To appear on the public view of Plan-It Purple (as opposed to My Plan-It only), student group events must meet the following standards:

1. Events must be open to the public.

2. Events must be likely to be of general public interest.

Examples of types of students events that will NOT be approved for the public view of Plan-It Purple:

1. Weekly student group meetings.

2. Rehearsals for a student performance group.

3. Practices for student athletic teams.

The audience for this information is assumed to be within the Northwestern community only. Such events will not be approved by the Plan-It Purple editor, and will appear only to group subscribers on My Plan-It and on the group's own public calendar (if one exists).

In contrast, the following types of student group events WILL be approved for the general public's view of Plan-It Purple:

1. Films and all performances organized by student groups and open to the public.

2. Debates and lectures organized by student groups and open to the public.

3. All special events organized by student groups that are open to the public.

Staff, faculty, and administrative groups are highly encouraged to limit their postings to events relevant to the general public. Those posting private events to the public view will be contacted by the Plan-It Purple editor and asked to limit or delete these postings.

 

Policies regarding posting of official campus-wide events:

1. The University Registrar will post all information regarding the official academic calendar, including registration dates, information about when classes begin and end, etc. to the calendar.

2. Official academic dates for graduate and professional schools and the School of Continuing Studies should be submitted to the calendar by representatives from the appropriate school only. No other department should submit this information to Plan-It Purple.

3. A University holiday is defined as a day when the University's administrative and academic units are closed. The Registrar or Human Resources will submit this information to Plan-It Purple.

4. To avoid duplication and the publication of erroneous information, departments are not allowed to submit any information about events they do not sponsor. The Plan-It Purple editor will remove events if it is not apparent that the group submitting the event is actually sponsoring the event.

 

Northwestern home page posting policies

If you would like to have your event posted on the Northwestern University home page <http://www.northwestern.edu> check the appropriate box on the Event Submission Form. Events must be submitted at least two weeks (two Fridays) prior to the desired home page posting date. The Event Submission form will indicate the specific deadline date.

In addition to meeting the submission deadline, all events are subject to to the following guidelines:

1. Complete information must be provided on the Event Submission Form.


2. Events must be open to the public.

3. The Plan-It Purple editor reserves the right to "bump" an event from the home page in the rare instance that the University administration requests placement of a major, University-sponsored event.

4. Events will be accepted on a first-come, first-served basis.

If your event information changes at the last minute or you have any questions, contact the Plan-It Purple editor at 847-491-4870.

Observer calendar policies

The Observer, Northwestern's faculty and staff newspaper, accepts submissions from Plan-It Purple. If you would like to have your event published in the weekly, print version of the Observer, check the appropriate box on the Event Submission Form. Events must be posted at least three weeks (three Fridays) prior to the publication of the Observer. The Event Submission form will indicate the specific deadline. In addition to meeting the publication deadline, an event must conform to the following guidelines:

1. Complete information, including contact and admission fee information, must be provided on the Event Submission Form.


2. Events must be open to members of the Northwestern community.

3. Events will be accepted on a first-come, first-served basis.

If your event information changes at the last minute or you would like to submit a photo of your event for publication in the print version of the Observer, contact the Observer
calendar editor at calendar@northwestern.edu or 847-491-5048.
